The machine you fixed two years ago, and the part you fitted in it
Appliance repair is two visits pretending to be one: the diagnosis, and the trip back with the part. Anything that treats them as separate jobs loses the thread — and then a warranty call arrives about a machine nobody can identify. Here the serial, the part and both visits sit on the same record.
The return trip is linked to the first one
A revisit is booked from the job it repeats and carries a required reason. Without that link every job looks like a first-time fix, which is technically true and tells you nothing.
- Book the parts visit from the diagnostic job it belongs to
- A required reason, so "waiting for a part" is never mistaken for rework
- Rework visible per customer, job or cost centre
Serial numbers that survive the callback
A serial-tracked machine stays attached to the job it was worked on, so a warranty claim starts from a record instead of a photo of a rating plate.
- Serial and lot tracking through to the parts fitted on site
- The repair history belongs to the machine, not to a memory
- One customer record shared with invoicing and CRM
Parts off the van, against real stock
The van is a warehouse like any other. What comes off it moves through the same item records as everything else, so the stock figure is the stock figure.
- One item catalogue behind inventory, purchasing and jobs
- Van stock replenished, counted and valued like any other warehouse
- Materials and labour roll up per job, with estimates marked as estimates

Questions operators ask
Can we link the parts visit to the original call-out?
Yes — a return visit is booked from the job it repeats and requires a reason. That link is what lets you separate "came back because we were waiting on a part" from "came back because it was not fixed", which are very different numbers.
Will we know what we fitted in a machine two years ago?
Where the machine and the part are serial or lot tracked, yes. The tracking carries through to what was fitted on site and stays attached to the job, so the warranty conversation starts from a record.
Do parts come off our real stock?
Yes. A van is a warehouse record like any other, so parts drawn on a job move through the same item records as purchasing and the warehouse, and are counted and valued the same way.
We are three engineers. Is this too much?
Field Service is a module you can hold on its own, priced per person on the app. You add Inventory, CRM or Finance when you actually want them — and if the shape of it does not match how you work, the software is changed to fit, by the same company that wrote it.
