The round comes back every fortnight; the storm does not book ahead
Grounds maintenance runs on two rhythms — the round that repeats whether or not anyone thinks about it, and the seasonal or storm work that arrives unannounced. Software built only for scheduled jobs loses the first; software built only for contracts loses the second. Both are jobs here, on one board.
Maintenance contracts that repeat themselves
A maintenance agreement holds the site, the visit type and a cadence, and raises each period's visit — so a round is a property of the contract rather than a recurring entry someone maintains by hand.
- Monthly, quarterly or annual cadence per site
- Each visit knows the agreement and period it belongs to
- The plan shows visits raised so far and the next period due
Seasonal and one-off work beside the round
Clearances, planting and storm work are raised as ordinary jobs on the same board, so the week is one picture rather than a contract diary plus a whiteboard.
- One-off jobs and contracted visits scheduled together
- Assign to people for a time window; a clash or missing skill is a warning, not a block
- Rescheduling moves the day visibly instead of by phone call
Margin per site, not just per month
Materials and labour roll up per visit and per job, so an unprofitable site is visible before the contract renews.
- Costs against the site's job and cost centre
- Revenue, cost and margin by customer, job, item or cost centre
- Materials drawn against the same item records as purchasing

Questions operators ask
Can a maintenance round schedule itself?
Yes. A service agreement per site holds the visit type and cadence and raises each period's visit, carrying the agreement and period onto the job. The round is a property of the contract rather than a repeating entry somebody keeps alive by hand.
How do one-off jobs fit around the rounds?
They are raised as ordinary jobs on the same board, so a storm clearance and a fortnightly cut compete for the same day in the same place — which is what actually happens.
Can we assign work to specific people?
Yes, for a time window, and the board warns you if that person is already booked or is not tagged with a skill the job type requires. It warns rather than blocks, because sometimes you send who is available.
Do you schedule crews as a unit, or track equipment hours?
No to both, and we would rather be straight about it. Work is assigned to people individually; there is no crew-as-a-unit scheduling and no plant or equipment hour-meter tracking. If those are central to how you run, they are a build conversation, not a checkbox.
