The callout, the parts off the van, and the invoice — one record

A plumbing day is two days at once: the work you booked and the work that just flooded someone's kitchen. Most software handles the diary and sells you an integration for the parts and the money. Here the job, the van and the invoice are the same record set, so the emergency you squeezed in at 4pm is costed like every other job.

Emergency work that does not break the board

Jobs are raised, scheduled and moved through their states on one board, so a callout dropped into the middle of the afternoon changes the day visibly rather than by phone call.

  • Raise a job and schedule it in the same place the booked work lives
  • A job carries its type, business unit, scheduled start and the van it runs from
  • A "My Day" view built for a phone in a van rather than a desk

The van is a warehouse, not a guess

Fittings, valves and copper come off the van against the same item records as the rest of your stock. This is normally the integration project; here it is one catalogue.

  • One item catalogue behind inventory, purchasing and jobs
  • Van stock is replenished, counted and valued like any other warehouse
  • What left the van is what left the business — no end-of-month reconciliation

Boilers and heaters carry their serial to the invoice

Serial-tracked units stay attached to the job they were fitted on, so a warranty call two years later starts from a record instead of a memory.

  • Serial and lot tracking carries through to the parts fitted on site
  • A return visit links to the job it repeats, with a required reason
  • Materials and labour roll up per job, with estimates marked as estimates

Questions operators ask

Can an engineer run the whole job from a phone in the van?

Yes. There is a "My Day" view built for a phone rather than a desk: the jobs assigned for the day, the detail of each one, and the parts drawn against it. It is the same job record the office sees, so nothing has to be re-entered when they get back.

Do parts come off our real stock, or a separate list?

Real stock. A job draws parts from the same item records as purchasing and the warehouse, and van stock is treated as a warehouse in its own right — replenished, counted and valued the same way. That is the part most systems in this category leave you to integrate.

Can we see whether a job actually made money?

Materials and labour roll up per job, and revenue, cost and margin can be read by customer, job, item or cost centre. Where a figure is estimated rather than captured the screen says so, instead of presenting an estimate as a fact that will not tie back to the ledger.

Do we have to buy a whole suite to start?

No. Field Service is a module you can hold on its own, and you add Inventory, CRM or Finance when you actually want them. You pay for the apps each person uses rather than a bundle — and the ones that hold the shared records, like the company shell and reporting, are included.
